I Didn't Do SIWES, How Can I Fill Logbook/Form-8?

It's not uncommon to find students who are expected to go on SIWES but end up staying home or engaging elsewhere. This set of students must have found that their schools probably won't send any visiting supervisors after them during the period. Why would you be confident to stay at home, or abscond your place of attachment when you're to undergo the industrial training if you know quite well that your lecturer will be tailing during the program?

If you're one of such students anyway, your school has actually opened the loophole, and the blame is not entirely yours. Now that you have your logbook and Form-8 with you, you can't just submit that back to your school or the ITF office without adequate entities on them. So, what do you do?

SIWES Logbooks and Form-8 Under Normal Circumstances

First, let's get a clear picture of what the situation should be like if you're to really partake in the SIWES. You would submit your introductory/scouting letter to the proposed business or organization. They will give you back an acceptance letter which will be submitted to your school's SIWES unit. Then, you can proceed with the program.

I'm confident you have done that because if you didn't, the school management might have not even sent you for the SIWES in the first place or given you the logbooks and ITF Form-8.

Each working day at the place of attachment, you'll fill in the activities done in your logbook 1 and draw diagrams, graphs, tables, or any related visual drawing in logbook 2. This you'll do until the final day of your training.

Whereas, at the end of each week, your on-field or industry-based supervisor will review your logbook entries, comment, sign, and stamp as required. This he has to do for 24 weeks of a university SIWES or 16 weeks of polytechnic/monotechnic or college of education SIWES.

At the end of the whole program, you'll fill out the ITF Form-8, the industry-based supervisor will fill out his own part, sign, and stamp as appropriate. Then, you can return to the school and ITF office for submission of the relevant documents as required.

Obviously, you know what you missed out on and you need the way out. You've missed:

  1. Daily records of activities
  2. Weekly supervisor's review, comment, and sign and stamp
  3. ITF Form-8 filling, signing, and stamping by the industry-based supervisor

So, how do you achieve these on your own?

Filling the Logbook Without Participating in SIWES

  1. Pick a company or organization with a fictitious name. In other words, you have to assume the name and address of a company by yourself. If you've submitted one to management before being posted, retain that name and address.
  2. Ponder on the series of daily activities that will likely be common in their industry or at that business. This may be the hardest part of this assignment. Hence, you may need a helping hand.   3. For logbook 2, find any activity that may be supported with drawings from per week and show that.
  4. Design a stamp with the help of an artist. Artists around can make your stamp for you. You may claim you're starting the company yourself if they want to be suspicious. If necessary, you can open up. Then, get a stamp pad. This you'll use to stamp each section is supposed to be filled, signed, and stamped by the industry-based supervisor. The comment by the supervisor is usually a summary of what you've claimed you did during the week. Put any full names up where the supervisor's name is required. A typical supervisor's comment is for example, "The intern/trainee is actively engaged in various aspects of network management, demonstrating a commendable commitment to learning and contributing to telecommunication projects.", "The intern shows a proactive approach to learning, actively participating in troubleshooting, observing installations, and engaging in discussions about network security", etc.
  5. Finally, fill out the ITF Form-8. Be consistent with the supervisor's name, the company's name, the address, the starting date, the ending date, and the final comment by the supervisor, sign, and stamp. You should be creative and consistent with your presentation in the "Brief outline of experience of training provided" section of Form-8.

In conclusion, while circumventing SIWES is not advisable, if you find yourself in such a situation, meticulous planning and attention to detail are crucial. Forge ahead with a fictitious company, meticulously document daily activities, and enlist support if needed. Craft convincing supervisor comments and ensure consistency in all documentation. Remember, this approach is a last resort and should not replace genuine participation in the program. Honesty and integrity remain paramount in academic and professional endeavors.
